Hailyo in short.

Hailyo is B2B sales email software for founders and small teams who do their own outbound. You describe who you want to reach. It finds them on the live web, checks each address and shows you the result, writes first emails from what each company's own website says, sends only from your own mailboxes at a pace your domain can take, sorts the replies, and traces meetings and voucher redemptions back to the email that earned them.

Hailyo is for founders and small B2B teams who run their own cold email and want a sending domain that stays healthy. It is not for agencies sending thousands of emails a day (a mailbox tops out at 50 a day), for anyone who wants a warmup network, or for anyone who needs a guaranteed number of meetings.

Describe who you want. Hailyo looks now.

Type one idea or several, the way you'd say them: by what their website says, the tools it runs on, the kind of business, or a company you'd like more of. Every match comes with the quote, the page and the date that qualified it.

  • It shows you the plan first: what it understood, the places, about how many leads to expect and the price. If you describe a person that's hard to spot from outside, it suggests kinds of companies it can find, and you confirm.
  • It picks the sources: maps for local businesses, the web, hiring and filing signals, public profiles to name people. The cheapest one that works goes first.
  • Your countries are a rule. It works out each company's country from its address, phone, listing or website, and drops one that's clearly elsewhere.
  • Each lead lands under its offer, in a list made for that offer, labelled with its idea and source so you can filter by them.

We keep going until you have your number, or tell you why not.

A search that runs short widens to nearby cities and similar businesses in the background. If the market runs out, you get one line and the option to add a country.

first line of the draft

Hi Maya, I saw on your wholesale page that you supply cafés across Lisbon1…

Every address checked. You see the result.

Hailyo checks the address format, the mail server, whether the inbox exists, whether the domain accepts anything (a catch-all), and whether the person ever unsubscribed or bounced. The result stays on the lead, and if a lead you were charged for hard-bounces on its first send, it comes back automatically.

Verified
The inbox answered and the person or role is confirmed.
Catch-all
The domain accepts everything, so the inbox can't be confirmed. Printed on their own site, with working mail, it can still be a lead.
Unconfirmed
The check couldn't get an answer. The same rule applies: printed on their own site, with working mail.
Guess
Built from a pattern. Hidden, labelled, and never charged as a lead.

Import any CSV export. Hailyo removes duplicates and anyone on your do-not-contact list, and re-checks up to 5,000 rows a month for free, so you can see how many “verified” emails would have bounced before you send a single one. Imported leads don't use your lead balance.

You approve. Your mailbox sends.

Cold email only ever goes out from mailboxes you connect, never from a shared Hailyo server. Each email passes six checks right before it sends, and anything that fails is held with the reason.

See what you can send, and when it grows

Settings shows it per mailbox and in total: can send today, this week's limit, the next increase and its date, what's holding it back in one line, and how many more a day another mailbox would give. Each day fills in order: confirmed people, confirmed roles, then addresses printed on the company's own site.

  2. 25 Week 2
  3. 40 Week 3
  4. 50 Week 4 on

Week 4 on is up to 50 per mailbox while it stays healthy. Starter includes 3 mailboxes, Growth 10. Your plan's monthly emails still apply.

Your mailbox, your rules

Hailyo can

  • Send the emails you approved, or that an Autopilot you started wrote
  • Read replies to those emails
  • Spot bounces and out-of-office replies

Hailyo won't

  • Send anything you didn't approve, unless you switched approval off for a step or started an Autopilot
  • Use your mailbox to warm up anyone else's

Connect Microsoft 365 with Microsoft's own sign-in, Google Workspace with an app password, or any mailbox over SMTP and IMAP. To revoke access, disconnect in Settings, remove Hailyo from your Microsoft account, or delete the Google app password.

A pace your domain can survive

  • New mailboxes send 12 a day in week one, 25 in week two, 40 in week three, then up to 50 a day while healthy. A mailbox slows down by itself on bounces or spam, and recovers by itself.
  • Sends are spread out with random gaps of one to five minutes, capped per inbox provider, and only go out on weekdays during the lead's working hours (default 8:00 to 17:00, skipping public holidays in their country).
  • Sending cold email from the domain your customers and invoices use? Hailyo warns you, limits it to 20 a day by default, and walks you through setting up a second domain instead.
  • Domains younger than 30 days are limited to 15 a day per mailbox, and Hailyo shows the date that lifts.

Hailyo pauses itself when something looks wrong

WhenWhat pauses
2% hard bouncesthat sequence
3% hard bouncesthat mailbox
3 blocks from one provider in a daythat mailbox, then the domain if it spreads
Spam rate 0.3%the domain
SPF, DKIM or DMARC failingthe domain, until it's fixed

Bounce rates count once at least 200 emails have gone out. Every pause tells you why, what to fix, and lets you re-check in one click.

Set up once, watched between sends

  • You see every record for your domain together, once, at setup. Where your DNS provider supports it, you approve the change and Hailyo writes them; otherwise you get a guide and Hailyo re-checks until they pass.
  • Your domain's records are re-checked every six hours.
  • Public blocklists are checked every 12 hours.
  • A temporary lookup failure isn't shown as a broken domain: you see the last good result, and a problem only after repeated failures.
  • Each domain and mailbox gets a health score where every lost point has a reason and a fix.

Every reply sorted. Every win traced.

Replies arrive labelled: interested, wants a meeting, question, not now, referral, not interested. Out-of-office replies push the next step back; unsubscribes and bounces stop the sequence on their own.

AI replies, if you want them
Off until you turn them on for a sequence. A low-confidence answer, a legal question, an angry reply or someone asking for a person goes to you.
Meetings
Put your Calendly or Cal.com link in an email. When a lead books, Hailyo marks the meeting and stops their sequence.
Vouchers
Give every lead their own code. When a code is redeemed, the revenue lands on the ledger next to the email that earned it.
Your data, where you choose
Keep your workspace's data in the US or the EU.

Autopilot runs the whole loop.

One or several per offer, each with its own leads, so no company gets the same offer twice. Each does every step above with no per-email approval. It keeps enough leads waiting, spreads the day's emails across your mailboxes, and answers replies if you allow it.

  • Before it starts, you choose the offer, who to reach, which mailboxes, how replies are handled and a monthly limit. You read sample emails and a sample reply, and agree that it sends without asking each time.
  • A draft that fails a check is rewritten up to twice with every check run again. If it still fails, it's dropped and the lead is skipped.
  • It learns from replies. Best ideas go first and one search in five tries something new. Ideas with enough sends and no replies are dropped. Its page shows what it learned about subject lines and openings.
  • Guesses only fill spare capacity, one per company, on days that would otherwise go unused. A guess costs 1 lead, and its address is revealed, only if the person replies.

Hailyo next to a lead database and a sending tool.

Most founders who do their own outbound piece it together from a lead database and a separate sending tool. Here is what changes with Hailyo.

Hailyo compared with a lead database plus a separate sending tool
TopicHailyoThe usual setup
Where leads come from HailyoSearched on the live web when you ask. Hailyo picks the sources itself and keeps the quote and page that qualified each lead. The usual setupExported from a database you subscribe to, collected before you searched.
Countries HailyoA rule. A company that's clearly outside the countries you chose is dropped. The usual setupA filter on whatever the database has on file.
Running short HailyoIt widens to nearby cities and similar businesses and keeps going. If the market runs out, you get one line saying so. The usual setupThe export ends, and you work out what to do next.
Email checks HailyoEvery address checked, with its status on the lead. The usual setupDepends on the database; you may need a separate verification tool.
When a lead bounces HailyoA lead you were charged for that hard-bounces on its first send comes back, up to 10% of the month's leads. The usual setupDepends on the provider's terms.
What you pay for HailyoLeads with a usable address. Sending and AI drafts are included in the plan; a search that finds nobody costs nothing. The usual setupDatabase credits and a separate sending subscription, each billed on its own terms.
Who sends HailyoOnly your own connected mailboxes, Microsoft 365, Google Workspace or SMTP/IMAP. No warmup network. The usual setupYour mailboxes, sometimes alongside a shared warmup pool.
Sending pace HailyoClimbs by itself: 12, 25, 40, then up to 50 a day, slowing on bounces or spam. You can see what's left today. The usual setupSet by you; limits and pauses vary by tool.
What each email earned HailyoReplies, meetings and voucher redemptions on one ledger, next to the email that earned them. The usual setupReply tracking in the sending tool; revenue attribution is usually set up separately.

The right-hand column describes the setup in general, not any one company's terms. Hailyo's terms in full are on the pricing page.

Sending questions.

Every other answer is on the FAQ.

Why does Hailyo only send cold email from my own mailboxes?
So your sending reputation is built on your own domain and mailboxes, not shared with anyone else's. Cold email goes out only through mailboxes you connect: Microsoft 365, Google Workspace, or any mailbox over SMTP/IMAP. Hailyo never sends it from a shared pool of its own.
What can Hailyo do in my mailbox?
Send the emails you approved or that a running Autopilot wrote, and read the replies to them. You connect Microsoft 365 with Microsoft's sign-in, Google Workspace with an app password, or any mailbox over SMTP/IMAP. Disconnect in Settings whenever you like, or revoke Hailyo from your Microsoft account or delete the Google app password. More on mailbox access.
Do you have a warmup network?
No. Hailyo doesn't swap emails with a pool of strangers' inboxes to make yours look busy. A new mailbox builds up with real emails instead: 12 a day in week one, 25 in week two, 40 in week three, then up to 50 a day while it stays healthy.
Why so few emails a day?
Because that's what keeps a domain healthy. A new mailbox sends 12 a day in week one, 25 in week two, 40 in week three, then up to 50 a day while it stays healthy. Each mailbox you add brings its own capacity, and Settings shows what each can send today and when that grows. If you want thousands of emails a day from day one, Hailyo isn't for you.
How do I know what I can send?
Settings shows it per mailbox and in total: what you can send today, this week's daily limit, the next increase and its date, what's holding it back in one line, and how many more a day another mailbox would give. A mailbox slows down by itself on bounces or spam and recovers by itself afterwards.
How hard is setting up my domain?
You see every record together, once, at setup, including the one that proves the domain is yours. Where your DNS provider supports it, you approve the change and Hailyo writes the records. Otherwise you get a guide for your provider, and Hailyo keeps re-checking until they pass. A temporary lookup failure isn't shown as a broken domain.
Do I have to approve every email?
By default, yes: approval before every send is on for every step of a sequence. You can switch it off for a step once you trust it. Every email also passes Hailyo's checks right before it sends, and one that fails is held with the reason, never sent anyway. Autopilot is the exception you opt into, where a failed draft is rewritten or dropped.
When does Hailyo pause sending on its own?
When the numbers say your domain is at risk. A sequence pauses at 2% hard bounces and a mailbox at 3% (once at least 200 emails have gone out). A domain pauses until it's fixed if SPF, DKIM or DMARC fail. Every pause rule.
